A project schedule is a roadmap of how the project will be executed from start to end. It details the activity\u2019s start and end dates and the sequence to follow for a successful end. A schedule should be able to tell where the project is and what is remaining to be done. <\/strong><\/p>\n<p style=\"text-align: justify;\">However, for the schedule to serve its purpose, project schedule management is paramount. This is the procedure that establishes the documentation and policies for developing, monitoring, controlling, and managing the schedule for resources and time allocated for timely and successful completion.\u00a0\u00a0<\/p>\n<p style=\"text-align: justify;\">\n\n\n<p><\/p>\n\n\n<\/p>\n<p class=\"wp-block-paragraph\" style=\"text-align: justify;\">In this article, we discuss the role of project schedule management in project completion, the challenges that are likely to occur as well as the tools for effective schedule management.<\/p>\n<p style=\"text-align: justify;\">\n\n\n<p><\/p>\n\n\n<\/p>\n<h2 style=\"text-align: justify;\"><strong>What is the role of project schedule management?<\/strong><\/h2>\n<p class=\"wp-block-paragraph\" style=\"text-align: justify;\">\n\n\n<p><\/p>\n\n\n<\/p>\n<p class=\"wp-block-paragraph\" style=\"text-align: justify;\">Ideally, project schedule management can be defined as the important process necessary to ensure that a project is completed within the constraints of time and resources. The following is the role of schedule management in project management.<\/p>\n<p style=\"text-align: justify;\">\n\n\n<p><\/p>\n\n\n<\/p>\n<p class=\"wp-block-paragraph\" style=\"text-align: justify;\"><strong>1.\u00a0 <\/strong><strong>Schedule development<\/strong><\/p>\n<p style=\"text-align: justify;\">\n\n\n<p><\/p>\n\n\n<\/p>\n<p class=\"wp-block-paragraph\" style=\"text-align: justify;\">Schedule management starts with developing the schedule of the project. Activities that are important in this function include:<\/p>\n<p style=\"text-align: justify;\">\n\n\n<p><\/p>\n\n\n<\/p>\n<ul class=\"wp-block-list\" style=\"text-align: justify;\">\n<li>Defining the schedule \u2013 This involves identifying all the activities required for the completion of the project. This gives the project managers and the team a full understanding of what needs to be done to complete the project<\/li>\n<li>Defining the sequence \u2013 This involves identifying how activities follow each other in the project cycle. This also reveals the dependency relationships and the type of relationship between activities.<\/li>\n<li>Duration estimation \u2013 This involves estimating the duration that each activity is going to take, as well as the start and finish dates.\u00a0\u00a0<\/li>\n<\/ul>\n<p style=\"text-align: justify;\">\n\n\n<p><\/p>\n\n\n<\/p>\n<p class=\"wp-block-paragraph\" style=\"text-align: justify;\"><strong>2.\u00a0 <\/strong><strong>Schedule approval<\/strong><\/p>\n<p style=\"text-align: justify;\">\n\n\n<p><\/p>\n\n\n<\/p>\n<p class=\"wp-block-paragraph\" style=\"text-align: justify;\">The buy-in from the project stakeholders is necessary in implementing the schedule. The role of schedule management in this step is to negotiate with the stakeholders for their approval. The stakeholders have to approve the schedule for them to make available the required resources and people to carry out the tasks. Once the approval is obtained, the project lead creates a baseline and communicates the schedule with the team.<\/p>\n<p style=\"text-align: justify;\">\n\n\n<p><\/p>\n\n\n<\/p>\n<p class=\"wp-block-paragraph\" style=\"text-align: justify;\"><strong>3.\u00a0 <\/strong><strong>Monitoring the schedule<\/strong><\/p>\n<p style=\"text-align: justify;\">\n\n\n<p><\/p>\n\n\n<\/p>\n<p class=\"wp-block-paragraph\" style=\"text-align: justify;\">The other role of schedule management is monitoring the schedule as it progresses. This calls for project managers to determine the process to use in updating the schedule such as analyzing the impact that making the changes will have on the budget, <a href=\"https:\/\/teamdeck.io\/project-management\/effective-project-scope-management\/\" target=\"_blank\" rel=\"noreferrer noopener\">project scope<\/a> and quality and identifying the people who have authority to make the changes. Additionally, the project manager seeks for stakeholders\u2019 approval and communicates the changes to the team.<\/p>\n<p style=\"text-align: justify;\">\n\n\n<p><\/p>\n\n\n<\/p>\n<h2 style=\"text-align: justify;\"><strong>Potential challenges in project schedule management<\/strong><\/h2>\n<p class=\"wp-block-paragraph\" style=\"text-align: justify;\">\n\n\n<p><\/p>\n\n\n<\/p>\n<p class=\"wp-block-paragraph\" style=\"text-align: justify;\">Schedule management isn\u2019t a mean feat. The process of schedule management from schedule development, monitoring and updating is without <a href=\"https:\/\/teamdeck.io\/project-management\/project-management-challenges\/\" target=\"_blank\" rel=\"noreferrer noopener\">project management challenges<\/a>. Here are common challenges to look out for.<\/p>\n<p style=\"text-align: justify;\">\n\n\n<p><\/p>\n\n\n<\/p>\n<ul class=\"wp-block-list\" style=\"text-align: justify;\">\n<li><strong>Inaccurate time estimation<\/strong><\/li>\n<\/ul>\n<p style=\"text-align: justify;\">\n\n\n<p><\/p>\n\n\n<\/p>\n<p class=\"wp-block-paragraph\" style=\"text-align: justify;\">Getting the activities duration right is very important in effective completion of the project. Inadequate communication leads to time wastage as employees leave their work to ask for clarifications or find information themselves. On the other hand, over communicating can lead to message overload and confusion. Project managers need to keep the team and stakeholders updated about the schedule, the changing priorities and more.
